Exhibit and Display Policy

Exhibit space for use by community agencies or individuals consists of two display walls (each 32’ x 8’) on the Library’s first floor and the Large Meeting Room. Though the Library may be providing space for a display or exhibit, this does not necessarily indicate the Library endorses the position promoted by the exhibit or display.

Exhibits should:

  • Contribute positively to the Library’s environment
  • Enrich the life of the Warwick community

Guidelines

  1. Requests of exhibit space will be considered in the order in which they are received. The Library reserves the right to limit the size, the number of items, the schedule of any display, and the frequency with which the exhibitor or organization may have the display.
  2. Exhibits of a polemic or discriminatory nature will be refused. The Board of Trustees reserves the right to require the immediate removal of any elements it deems in violation of this policy and/or items judged to be unsuitable for an all-ages space.
  3. Exhibits will normally be limited to one month, with definite dates established in advance.
  4. All artwork must be framed or matted.
  5. All displays and exhibits must include a credit line, i.e. a sign, stating the sponsorship of the display or exhibit.
  6. Transporting, unloading, hanging, and arranging exhibits are the exhibitor’s responsibility. If the exhibitor needs assistance in this effort, it is their responsibility to bring someone to assist them.
  7. Because the Library does not have space for storage of the property of exhibitors in the Library building, exhibitors are asked to deliver and pick up artwork according to the dates established in advance. Insurance covering the value of the exhibit will be the responsibility of the displaying exhibitor. The exhibitor will sign a disclaimer releasing the Library from all responsibility prior to the display of the works.
  8. If materials are for sale, the Library does not and will not enter into sales negotiations or transactions. All transactions will take place solely between the artist and the interested buyer.

Installation & Removal of Exhibits

The responsibility for the installation and dismantling of an exhibit rests with the individual owner(s) of the material. Both installation and dismantling should conform to the exhibit dates approved in advance..
